How to Choose CA Practice Management Software: A 7-Point Checklist

An evaluation framework for CA firms comparing practice management software in India: the seven criteria that matter, the questions to ask on every demo, and the traps that lock firms into the wrong tool.

Most firms choose practice management software the wrong way: they watch two demos, pick the prettier one, and discover the gaps six months in — after the data migration makes leaving painful. A structured evaluation takes one extra week and prevents a multi-year mistake.

The 7-point checklist

1. India-specific compliance coverage. Generic international tools track “tasks”; your firm tracks GSTR-1, 3B, TDS quarters, ITR seasons, ROC filings, DSC expiries and UDINs. If the software doesn’t understand Indian compliance natively, your team becomes the translation layer forever. Ask to see the recurring-task setup for a real GST client on the demo.

2. WhatsApp-first client communication. In India, client reminders that arrive by email get opened on Tuesday; WhatsApp gets opened in minutes. Automated WhatsApp reminders for deadlines and fees are the single highest-ROI feature in this category — treat their absence as disqualifying.

3. Pricing that fits your real size. Model total annual cost at your actual headcount and client count, not the demo scenario. Per-user pricing punishes growth; per-client pricing punishes exactly the thing you’re trying to do. Flat per-firm pricing (QwikCA’s model — see plans) is easiest to forecast: unlimited clients, pay for team size.

4. Client portal your clients will actually use. A portal that requires clients to install an app and remember a password will be ignored. Look for dead-simple document upload and visibility into their own compliance status.

5. Data security you can explain to clients. You hold credentials and financial documents for hundreds of businesses. Encryption at rest and in transit, role-based access, and audit trails are minimums — ask where data is stored and how access is controlled (QwikCA’s security page shows what answers should look like).

6. Migration and onboarding support. The tool is only as good as the data in it. Ask specifically: who imports our client master? How long until the team is productive? Vendors confident in onboarding will commit to specifics.

7. An exit path. Paradoxically, the safest tool to join is the one that’s easy to leave: full data export in usable formats. A vendor that locks your data in is telling you how they’ll retain you.

Questions that expose weak products on demos

  • “Show me the recurring task setup for a client with monthly GST and quarterly TDS.”
  • “Send a WhatsApp reminder to this test number, right now.”
  • “What does my data export look like? Show a sample file.”
  • “What happens to a task when the assigned staff member leaves?”

Products built for Indian firms answer these in minutes. Products retrofitted for India stall.

Run the trial like a pilot, not a tour

Pick five real clients — messy ones — and run one full month in the trial: tasks, documents, one invoice, one reminder. Every serious vendor offers a free month (QwikCA’s trial covers all features). If the tool survives your five worst clients, it will handle the rest.
